Finance Assistant (Maternity cover): Media Monitors Deadline: 29 January 2021 Job Description The successful candidate will work with the Finance and Administration team under the supervision of the Director as maternity cover for the Finance and Administration Officer. The role requires the candidate to conduct all activities in the accountancy cycle: from opening to closure. Among duties, the candidate will process financial transactions, keep track of budgets, assist in the preparation of financial reports for donors, members and other stakeholders, and ensure that financial and procurement procedures are accurately implemented. Duties and responsibilities Accounting: Ensure that the accounting system is kept up to date; Record all transactions, in PASTEL as appropriate; Process all financial transactions in an accurate and timely fashion; Check and verify source documents such as invoices, receipts, computer printouts; Manage banking, accounts and balances effectively and efficiently, including undertaking monthly bank reconciliations, foreign exchange management, and cash flow management in a timely manner; Prepare and process the opening and closing of accounts (i.e. reconcile salaries); Provide financial support to program staff, and work closely with them to ensure that financial information is accurate and up to date; Monitor cash flow, and ensure that sufficient funds are always available in the bank; Provide any other financial information, as requested, and respond to any other financial queries; Support monthly payroll, keep organized records and initiate salary payments; Ensure that all accounts records are filed in an orderly manner; Process tax payments and ensure that all tax obligation deadlines are met and submissions done in a timely manner. Budget tracking and Processing: Keep track and regularly update of budget-tracking tool; Assist in the preparation of budgets and accounts to donors, as requested. Financial reporting: Help prepare monthly reports for the director and second quarter report for the Board; Help prepare donor reports and any submissions that may be required by the donor. Undertake any other duties that may be requested during the period

Work/Educational Requirements

Minimum University degree in finance and accounting or other relevant disciplines/Graduate Trainee; Minimum 5 years work experience in similar field/ graduate trainee; Proficiency in Microsoft Office, Excel, Belina and PASTEL; Strong attention to detail and problem solving skills- Prepare and process the opening and closing of accounts (i.e. reconcile salaries); Experience in donor funding project management, budgeting, budget tracking and donor reporting; Experience in reporting, budgeting and grant management of EU and USAID grants an added advantage.
