Records Supervisor wanted at Zambezi River Authority

Zambezi River Authority is seeking a highly motivated, suitably qualified and experienced Zimbabwean National to fill the vacant position of Records Supervisor in the Corporate Services Department, to be based at Head Office, Lusaka, Zambia.

JOB PURPOSE

To maintain records, manage the filing system and assist in the administrative support sub-functions and activities in order to provide efficient and effective service to the Authority.

Under the supervision of the Human Resource and Administration Officer – Lusaka, the Records Supervisor will carry out the following key responsibilities:

  1. Maintaining records of all incoming and outgoing mail at Head Office.
  2. Supervising the filing of all correspondence and other documents for easy reference by Management and employees.
  3. Supervising the circulation of mail to employees and ensuring that same is circulated within stipulated time frames.
  4. Ensuring that an up to date filing system is maintained at all times.
  5. Organizing and managing all records and documents in an orderly manner.
  6. Coordinating and collaborating with all the departments in managing records.
  7. Maintaining appropriate databases for various records, reports and documents in the Authority.
  8. Providing access to records for appropriate employees.
  9. Providing support services regarding records management in the Authority.
  10. Assisting in the preparation of requisitions for all office stationery and equipment
  11. Ensuring that employee records are properly maintained and filed in the right sequence.
  12. Conducting routine verification on files so as to ensure the integrity of the filing system.
  13. Managing the changeo ver from paper to electronic records management systems as and when necessary.
  14. Recommending the development of effective filing systems in order to meet administrative, legal and financial requirements.
  15. Setting up, maintaining, reviewing and documenting records systems and ensuring that storing, arranging, indexing and classifying of records are effectively undertaken;
  16. Identifying and recommending the most appropriate records management processes.
  17. Maintaining, ordering and issuing stationery to employees.
  18. Performing any other duties within the scope of the job as may be assigned by the Superior from time to time

QUALIFICATIONS & EXPERIENCE

  • General Educational Qualifications: Five ‘O’ Levels with “Cs” or better
  • Diploma in Records Management Systems or equivalent
  • Two (2) years of relevant experience
