Job Summary

JOB TITLE Fleet Officer
REPORTS TO Operations/Safety and Security Manager

CNFA is a US-based non-profit nongovernmental organization (NGO) that works to stimulate economic growth and improve rural livelihoods in the developing world by empowering the private sector through five core capabilities: (1) Productivity, Food Security and Nutrition; (2) Input Supply and Farm Services; (3) Economic Resilience and Rapid Recovery; (4) Value Chain Development; and (5) Volunteer Technical Assistance. CNFA assists smallholders in increasing household-level food security and nutrition through improved agricultural practices, introduction of new varieties, diversification of crop production, food preservation and storage, development of farmer-based organizations (FBOs) and strengthened linkages to markets. CNFA has worked in Zimbabwe since 1999 to enhance agricultural productivity through input Keep supply systems.

Duties And Responsibilities

The following duties may differ depending on the requirements of the Logistics Officer.

Responsibilities of the Fleet Officer:
• Fuel Management
– Manage fuel, check the log sheets and analyse and reconcile fuel usage against trips undertaken
– Updates fleet registers/files of all vehicles such as recording mileage, fuel receipts.

  • Fleet Scheduling
    – Collect necessary information through transport requests to assess the transportation needs and coordinate the weekly movement schedules.
    – Ensure that the daily drivers’ schedules for CNFA is available and updated

– Monitor, supervise and delegate duties to drivers

– Test driving of drivers and other staff authorized to drive project vehicles.
– Verify the analysed vehicle logbooks and reconcile with the satellite tracking system and the work plans
• Fleet Maintenance
– Manage the routine care, control and maintenance of the vehicle fleet and keeping records of vehicle documents as per recommendation by the Operations/Safety and Security Manager.
– Facilitating refueling and repair of vehicles and generators as and when the need arises
• Fleet Compliance
– Ensure that all vehicles are properly registered, insured, road worthy and licensed
– Ensure that all vehicles are handled according to the Vehicle Policy, mileage recording and observing of parking time limits as well as vehicle cleaning
– Updating tollgate cards
– Inform the Operations/Safety and Security Manager in writing about any concerns or problems regarding fleet
– Report any illegitimate misuse of program resources /vehicles to the Operations Manager.

  • Fleet reporting and Other
    – Provide monthly reports on fleet management on servicing, insurance, registration, maintenance, and repairs.
    – Prepare vehicle accidents and incidents reports, and claim forms
    – Monitor the cost expenditure for the fleet and equipment in liaison with Operations Manager
    – Carry out other duties and tasks as assigned by the Operations/Safety and Security Manager

Qualifications And Experience

Qualifications & Requirements:
• A degree in transport/fleet management/ accounting & administration, or logistics. An advanced degree would be an added advantage. 5 years of NGO experience working in a similar position.
• Clean Class 4 drivers’ licence and class 2 will be an added advantage
• Defensive driving.
