Job Summary

Human Resources and Administration Assistant will provide comprehensive HR support across Devine Assignments branches from when specific human resources needs are identified, to overseeing the induction and onboarding of new starters into the organization. Working collaboratively with junior employees, the incumbent will provide support and advice on HR systems, processes, concerns and the implementation of policies.

Duties and Responsibilities

Responsibility 1- Recruitment
Achieve staffing objectives by recruiting and evaluating job candidates; from entry level jobs (Excluding Interns) to assistant level as well as advising that level of staff on HR related processes;
Initial development of HR documentation and correspondence such as contracts, relocations, promotions, staff movements and any other documents in consultation with HR & Admin Officer for review
Establishes recruiting requirements and developing recruitment plans, job descriptions, adverts, and meeting with delegated staff from other departments to discuss needs.
Builds applicant sources by researching and contacting community services, colleges, employment agencies, recruiters, media, and internet sites; and maintaining rapport with them
Initial shortlisting of applications in comparison to the identified human resources needs including sharing with the hiring manager for final shortlisting
Interviewing applicants, analysing responses, verifying references, and comparing qualifications to job requirements.
Developing recruitment reports ensuring that all recruitment procedures are followed
Coordinating onboarding and induction processes for all new and identified junior and entry level employees
Carry out pre-employment checks for assigned roles when new employees join Devine Assignments

Responsibility 2 Payroll and Rewards Administration
Collect monthly payroll documents and sorting them for smooth payroll processing
Support the HR and Administration team in the collation of payroll changes for monthly payroll.
Ensure all supporting documentation on payroll is available to the HR and Administration Officer in time for processing
Work with HR and Administration Officer on reconciling payroll information
Execute affiliated outcomes for all other duties as required
Monthly Staff Data and Airtime Processing

Responsibility 3- Health and Wellness
Communicate and recommend wellness programs to the line manager
Assist in the coordination and organising of organisational functions involving staff such as end of year parties, games, team building etc.

Responsibility 5- Performance Management, Learning and development
Support the line manager in development of training and development plans as obtained from performance management and other internal processes
Ensure performance management cycle including probation and performance assessments are communicated with all staff you are assigned as recruiter as and when due
Assist the HR Officer to monitor the performance appraisal and probation assessment checklist and ensure that the person responsible for them keeps them always updated

Qualifications and Experience

• A Degree in Human Resources Management / relevant qualification from a reputable institution.
• A professional HR certification such an IPMZ diploma is an added advantage.
• Minimum of 2 years’ experience in similar position.
• Experience of using MS Office is essential.
• Excellent communication skills.
• Good analytical and strong organizational skills and the ability to work independently.
