Job Summary

Applications are invited from a suitably qualified and experienced personnel to fill the above-mentioned positions within a property management organisation.

Duties and Responsibilities

• Attending to visitors at the reception.
• Making phone calls for and behalf of the Managing Director
• Making bookings and appointments for and on behalf of the Managing Director
• Responsible for the company directory.
• Recording minutes
• Typing and faxing
• Filing
• Making requisitions
• Receipting
• Collecting agreement and rental fees for and on behalf of the Managing Director
• Compilation of sales, letting and monthly cash financial reports.
• Property listings and marketing
• Making sure all online adverts tally with sales and letting mandates at hand
• Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including office correspondence, memos, resumes, and presentations.
• Performing bookkeeping tasks such as invoicing.
• Maintaining general office files, including job files, and other files related to the company’s operations.
• Purchasing office supplies, equipment, and furniture.
• Overseeing the maintenance of office facilities, and equipment.

Qualifications and Experience

• Degree or Diploma in Administration, Secretarial or related field
• At least 2 years work experience as a Receptionist, Front Office Representative or similar role
• Excellent presentation and strong customer service skills
• Proficient in a variety of computer software applications including Microsoft Office Suite (Word, Excel, Outlook, and Access) and telephone systems
• Well organized, reliable and well presented
• Welcoming visitors and directing them to the relevant office/personnel.
• Comfortable handling confidential information.
• Multi-tasking and time-management skills, with the ability to prioritize tasks.
