Description

Grade : 10 / 9 Location : Human Resources & Administration Directorate Reports To : Records and Information Supervisor Job Description 12.1 Typing departmental documents such as reports, correspondence and policies. 12.2 Managing the diary of the Department; 12.3 Preparing files for meetings, workshops, seminars, interviews. 12.4 Retrieval of information during audits. 12.5 Minute taking during departmental meetings. 12.6 Mail management (incoming and outgoing). 12.7 Management of departmental records (hard and electronic). 12.8 Operating office machinery such as copiers and fax equipment. 12.9 Archiving of records in liaison with the Registry department. 12.10 Perform any other duties as may be assigned from time to time by Head of Department.

Work/Educational Requirements

A Higher National Diploma in Secretarial Studies/Office Administration from a reputable institution At least 5 “O” Levels including English Language and Accounts / Maths Sound command of English Highly computer literate Typing speed (50 w.p.m) Good listening and verbal skills Good interpersonal skills Excellent records management skills At least 2 years relevant working experience
