Junior Administrative Officer – Harare based

Tasks and responsibilities:

In all the tasks the Junior Administrative Officer ensures compliance with financial and administrative regulations as per GIZ Processes and Rules (PuR) at any time

  • Providing support in various areas of the Project Administration in coordination with the Administrative officer
  • Providing support in the management of daily office operations (mail deliveries, telephone, visitors)
  • Filing documents in reference files or electronically
  • Supporting the Administrative officer with the inventory management and reporting damages /defects in office furnishings and equipment
  • Responsible for logistics and transport
  • Supporting the Administrative officer with monitoring the availability of stock and in carrying out procurement tasks
  • Supporting in meeting organisation including procurement of meetings or workshops (booking venues, liaising with venues, etc.)
  • Substituting, the Administrative Officer

Qualifications and requirements:
• Minimum of a diploma in Business Administration or similar field; a bachelor’s degree is an added advantage• At least 1-2 years’ professional experience in a comparable position in an international development organization
• Experience in office management and administration
• Experience of working at GIZ is an added advantage

Knowledge, additional competences:

• Fluency in English, written and oral;
• Good working knowledge of ICT (related software, telephone, fax, email, internet, etc.) and computer applications, e.g. MS Office and MS Teams
• Driver’s license
• Good organisational skills and ability to prioritize assignments
• Strong interpersonal and communication skills
• Ability to work effectively in a multicultural and multidisciplinary team
• Must be proactive, adaptable and be a team player with the ability to work to tight deadlines

The successful candidate will be expected to start employment with GIZ, on a full-time basis, as soon as possible. The contract shall be for a fixed term with a possibility of renewal.
