CUSTOMER CARE OFFICER X1 – MASVINGO :

Job Summary

Applications are invited from suitably qualified persons to fill the above-mentioned post. The incumbent will be reporting to the Regional Manager and will be based in Masvingo. The position exists to record vehicles issued to clients, the maintenance of incoming and outgoing vehicle records, to maintain clients’ portfolio and to identify and analyse market trends to increase revenue for the organisation.

Duties and Responsibilities

1.1. Clients Transport Needs
1. Verify log books for clients’ billing
2. Liaise with the Foreman on breakdowns
3. Liaise directly with any government departments
4. Ensure the provision of reliable drivers and organise sufficient transport to cover to state functions.
5. Coordinate and communicate with host government department
6. Summarise and consolidate proforma invoices
7. Ensure that clients complete vehicle hire contracts
8. Authorise gate passes to allow for release of vehicles after service or repairs and on new hires.
1.2. Accidents
1. Instruct the responsible driver to complete an accident report form
2. Liaise with the loss control department until a board of enquiry is held.
3. Ensure the driver obtains accident summary report from ZRP
4. Liaise with the V.I.D in circumstances where a case requires V.I.D attention as per the set procedures.
1.3. Customer Care
1. Attend to clients’ needs, requests and queries
2. Record customer complaints in Customer Register book
3. Prepare customer acknowledgement letters
4. Send authorised acknowledgement letters to all clients and file all correspondence for future reference.
1.4. Communication
1. Liaise with the Foreman on vehicles sent for repairs and vehicle requirements
2. Supervise updating of the vehicle log books and reconciliation of vehicle speedo meter
3. Communicate terms and conditions of vehicle hire to clients
4. Compile vehicle accident returns
1.5. Administration
1. Outsource vehicles from other hiring companies
2. Develop monthly forecasts on vehicles to be used
3. Monitor vehicles periodically and submit on vehicle requirements to the Regional Manager.
4. Complete necessary vehicle documentation and submit to accounts for payment.
5. Prepare quotation letters to all clients.
6. Develop corporate image of the organisation to clients
1.6. Vehicle Auctions
1. Identify redundant vehicles to be disposed through an auction
2. Communicate and notify relevant stakeholders about the vehicle auction
3. Conduct a vehicle auction in liaison with head office and the auctioneer

Qualifications and Experience

1. 5’O’ levels with Grade ‘C’ or better in Mathematics/Accounts.
2. Degree in Marketing/Transport and Logistics or equivalent
3. Professional qualification in Marketing such as Institute of Marketing Management (IMM) will be an added advantage
4. 3-5 years of relevant experience.
5. Computer literacy
